A reputed organization in Manama is seeking an experienced Male Executive Secretary to support our executive office. This role is ideal for professionals currently residing in Bahrain with strong administrative and organizational skills.
Key Responsibilities:
Executive Support:
- Serve as the main point of contact between executives and internal/external stakeholders
- Manage calendars, schedule appointments, and coordinate meetings
- Prepare and review documents, reports, and presentations
- Draft professional correspondence, emails, and memos
Meeting & Event Management:
- Plan and coordinate high-level meetings with agendas and materials prepared in advance
- Record and distribute meeting minutes with action points and deadlines
- Organize events, conferences, and travel arrangements, including visas, flights, and accommodations
Communication & Liaison:
- Handle all communications accurately and professionally
- Build and maintain strong relationships with clients, partners, and stakeholders
Administrative & Organizational Support:
- Maintain confidential files, records, and correspondence
- Prioritize tasks to meet deadlines and objectives
- Track projects and provide regular status updates
- Handle sensitive information with discretion
Office Coordination:
- Assist with office supplies and ensure smooth office operations
- Coordinate activities with other departments
- Support office events, meetings, and workshops
- Ensure compliance with company policies and standards
Clerical Duties:
- Manage mail and courier services
- Operate office equipment such as printers, copiers, and scanners
Job Requirements:
- Education: Bachelor’s degree in Business Administration, Office Management, or related field preferred
- Experience: Minimum 5 years as an Executive Secretary or senior administrative role
- Languages: Excellent English (spoken and written) for correspondence and professional communication
- Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) with strong typing skills
- Soft Skills: Exceptional organizational, time-management, and interpersonal skills; professionalism; ability to work under pressure; attention to detail; proactive and resourceful
- Driving license preferred
- Non-smoker
Location Preference:
- Candidates residing near Seef District, Manama are preferred
